Self-service kids café bookings: leave time between groups
A calendar full of bookable hours can still be an unworkable schedule. For a space used by one group at a time, work backwards from the next arrival: allow the previous group to leave, restore the room and finish the checks before selling another slot.

Define what one booking buys
Write down the customer entry and exit times and whether setup or tidying is included in the paid use period. Use the same unit for the reservation page, the price and the cost calculation. This worksheet is for a whole-space group booking; per-person admission and several independently rented rooms need their own units.
Put the changeover in the calendar
List clearing surfaces and supplies, cleaning the areas used, checking equipment and preparing the next arrival. Allocate time based on your actual room, activities and a measured trial, including how someone will reach the site. An appointment reminder or remote door lock does not perform these tasks.
For every changeover, name the person doing the work, how completion is confirmed and who covers an absence or an equipment problem. If the work cannot be completed before the next group arrives, close that slot or adjust the schedule rather than assuming it will fit.
Build a timetable you can actually run
Fill the blank rows for one operating day. Count only slots that remain sellable after opening checks, changeovers and closing work. The empty rows below are a writing template, not a recommended number of daily bookings.
| Booking | Customer entry–exit | Changeover work and time | Ready time / person responsible |

A sellable slot is not the same as a booking
If every operating day has the same number of sellable slots, multiply those slots by the operating days. If the daily schedule varies, add up the sellable slots for each day instead. Compare that monthly capacity with the booking count needed to cover your entered costs. A plan requiring more bookings than available slots cannot work as entered. A lower required occupancy still needs evidence of local demand.
[1]Look at weekday and weekend periods separately. Record enquiries, actual paid bookings and cancellations on the same basis rather than treating visits, likes or a competitor’s claimed revenue as your own demand. Revisit the timetable when the activity mix or cleaning workload changes.
